Tips and guides while implementing Oracle Fusion Cloud HCM Core HR

This document is outlined to help the beginners who are implementing Oracle Fusion Cloud HCM Core HR for the first time! As an implementor the first project is crucial. you maybe someone looking for list of things that needs to be considered and done in order to deliver a successful HCM core HR, then you're at the right place.

First things first

  • Always make sure you have a detailed scope of what the business(client) requires, and your understanding and business are aligned
  • once you have the requirement map them to Fusion terminologies and structure for example company name as legal employer etc.
  • Documenting requirement, you're understanding and also the final structure which will be configured in the HCM system is very important. By this it will help everyone in the implementation team to refer and you can always go back to verify in case you missed anything
  • do not finalize the organization structure in one go, always try different hierarchy and choose the best that reflects with the business

 

As part of implementing Core HR, we will be configuring HCM Information settings, setup enterprise structure, and configure person and employment details

As a part of configuring Manage Enterprise HCM Information settings you might need to consider the following points. there are many but to name few I have listed below

  • What is the organization name
  • Where is the head office located
  • Does it have any branches and any other locations, countries etc.
  • What is the working hour and work week
  • Will it have single or multiple assignment
  • What will be the person's name language and how will the person number have generated (automatic or manual)
  • Guided flow future dated record validation, approval region, enterprise seniority date, job codes, minimum search criteria.
  • Navigate to Settings and Actions --Setup and maintenance --workforce deployment --Workforce Structures --Manage Enterprise HCM Information

Next step would be defining workforce structures

  • Geographies will be mostly loaded by cloud services
  • We need to define legal address where the company is located
  • Navigate to Settings and Actions -- Setup and maintenance --- workforce deployment --Legal Structures --- Manage Legal Address
  • Define Legal Entities
  • Navigate to Settings and Actions -- Setup and maintenance --- workforce deployment --Legal Structures --- Manage Legal Entities
  • Based on Company Operations we need to set the legal entities legal identifier, will it employee people and/or Payroll Statutory Unit, what will be the legal entity registration number and will it have single or multiple assignments
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Legal Structures--Manage Legal Entity HCM Information
  • Before configuring above we need to decide if we will use delivered LDG or create our own
  • we need to configure Business Units and reference data sets
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Organization Structures-- Manage Business Unit
  • We can limit the amount of data that is displayed to HR Analyst when they are managing employee data in their respective countries. for this we create reference data sets and map it to BU and set which data is specific to BU and which is common to all such as jobs and grades can be common, and location and departments can be BU Specific
  • Navigate to Settings and Action--Setup and maintenance--workforce deployment--Enterprise Profile--Manage Reference Data Sets
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Organization Structure--Manage Business Unit Set Assignment
  • Next would-be creating divisions if applicable
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Divisions
  • creating locations will require you to first list out all required locations name, what will be the unique code and also the SETID and address
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Locations
  • Same goes for configuring the departments, their name, and to which BU set they will belong
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Departments
  • finally, the organization tree. this hierarchy will consist of divisions, legal entities, Business units, Departments
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Organization Trees
  • Next comes Base compensation, here we need to define grades, grade rates and salary basis.
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Grades
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Structures--Manage Grades Rates
  • Navigate to Settings and Actions--Setup and maintenance--Compensation Management-- Base Pay--Salary Basis
  • We need to decide if positions will be used or Jobs and accordingly the configurations need to be done
  • We can have journeys defined for onboarding/ Offboarding checklist and anything else that’s relevant
  • We can have actions and actions reasons defined specific to our organization needs
  • My client Groups--Workforce structures--other Processes--Action Reasons
  • My client Groups--Workforce structures--other Processes--Configure Actions

Defining Person record and Employment Record Values. How the organization tracks the workers, what will the employees, contingent worker and non-employees will be called. Example employees as Associates

  • Whom the employees will report to and what will be they called as
  • Different aspects needs to be considered and then defined in the system

  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Information--Manage work terms and assignment lookups
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Information--Manage person lookups
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Information--Manage Employment Contract Lookups
  • Navigate to Settings and Actions--Setup and maintenance--workforce deployment--Workforce Information--Manage Assignment Status

Finally verify your setup in test instance by performing few transactions such as hires, assignments, journeys, terminations, transfers etc.
